Job Overview:
The FabLab Administrative Coordinator is central to ensuring the FabLab runs smoothly. Reporting to the FabLab Director, this role combines administrative, operational, and member-focused responsibilities, supporting day-to-day functions while fostering a safe, welcoming, and collaborative environment. From managing memberships and the Makers Market to coordinating tours, events, and safety initiatives, the FabLab Administrative Coordinator helps maintain clear communication across teams and supports the FabLab community.
Job DescriptionKey Responsibilities
1. Administration & Operations Support
-
Oversee membership services, including onboarding, cancellations, storage rentals, consumables, volunteer credits, and training reconciliation.

Maintain shared spaces (coworking areas, design space, coffee bar, and Makers Market) and manage waste and recycling needs.

Provide administrative support to the FabLab Director and assist with general office tasks as needed.

Collaborate with internal teams to set priorities, coordinate workflows, and track progress.

Monitor timelines, flag potential risks, and adjust plans to meet changing needs.

Anticipate and resolve operational challenges proactively.
2. Markers Market-
Oversee daily operations, including sales processing, customer service, product displays, and monthly sales reporting.

Engage members to showcase their products in the Makers Market.

Monitor and maintain inventory levels, while exploring opportunities to increase customer traffic and sales.
3. Marketing & Community Engagement
-
Collaborate with the North Forge marketing team to support FabLab requests.

Ensure FabLab signage, branding, and promotional materials remain current and consistent.

Assist with community events, including First Fridays, member meetups, and other special activities.

Maintain clear and consistent communication with staff, members, and external stakeholders.
4. Tours & Visitor Support
-
Assist with FabLab tours: scheduling, communications, and visitor waivers.

Welcome visitors during weekly Public Open House Tours (every Tuesday) and larger group or school visits.

Share tour activity with members through Slack and onsite coordination.
5. Safety & Compliance
-
Serve as co-lead of the FabLab Safety Committee and as the North Forge employee representative.

Support incident investigations, documentation, and communication of safety concerns.

Conduct monthly safety checks (PPE, first aid kits, sharps containers) and ensure compliance with policies.

Deliver safety orientations and assist with program updates and audits.

Monitor security cameras as needed to support facility safety.

Manage access control by issuing, tracking, and deactivating key fob entries while maintaining accurate inventory records.
Qualifications
-
Strong organizational skills with the ability to manage multiple priorities effectively.

Excellent communication and interpersonal skills.

Previous experience in administration, operations, or customer service (experience in a
-
makerspace, coworking space, or nonprofit is an asset).

Proficiency with technology, including POS systems (e.g., Square), Slack, and Microsoft Office/Google Workspace.

Interest in innovation, fabrication, safety, and maker communities is considered an asset.

Ability to handle sensitive information with discretion and professionalism.

Flexibility to work in a fast-paced, multitasking environment, including occasional early

mornings, evenings, or weekends.
